Qual recruitment for Decision Technology
Decision Technology came to Zest with a qual recruitment brief built around a specific behavioural profile: frequent low-cost fliers, recruited to flight frequency quotas and behavioural criteria. Twenty depth interviews. One interviewer. A rolling two-week schedule that needed to flex around a busy researcher’s diary, client calls, and the occasional last-minute calendar change.
The brief was tight. The timeline got tighter — the start date was pushed forward with less than a week’s notice. None of it became the client’s problem.
The target was frequent budget airline passengers, recruited across specific flight-frequency bands with additional soft quotas on financial behaviour and household income. A specific profile within an already defined category.
Online IDIs were the right fit: one interviewer, participants recruited nationwide, sessions running across a wide window — 9:30am through to 7:30pm — to accommodate both participant and researcher availability. Zest set up and managed a dedicated Zoom account for the full duration of fieldwork, handling session logistics from start to finish.

The Zest team owned this project from first contact. Recruitment moved fast — 18 of 20 placed before the schedule was even finalised, with the final spots filled to hit the quotas that mattered most.
The scheduling operation ran in parallel. An availability sheet was built around the researcher’s diary from day one, updated in real time as sessions moved, rescheduled, or were brought forward. When participants needed to shift slots, we confirmed and updated same day. When the schedule needed adjusting at short notice, we caught it and resolved it before it landed on the client’s desk.
Every morning of fieldwork, the team sent a confirmed NDA sign-off for that day’s sessions before the first interview began — exactly as requested, without being chased. Buffer time between sessions was built in from the start and maintained throughout.
All 20 sessions completed. On time.
The qual recruitment brief is often treated as the simple end of what we do. It isn’t. Twenty individual participants, each with their own schedule and likelihood of dropping out — coordinated around one researcher’s diary and a client’s shifting timeline — is a logistics operation that only looks effortless when it’s been done properly.
That’s the standard we hold ourselves to on every qual project, regardless of sample size. Proactive communication. A schedule that bends without breaking. Problems resolved before the client sees them.
